PRINCE2: Understanding the Effective Project Management Methodology

Introduction

Project Management is playing a relevant role in achieving successful, efficient project in any organization or company. PRINCE2 stands for ’PRojects IN Controlled Environemnts’ and is a framework that is famous for its adaptability and easy to use method for various project types. The framework was originally developed by the CCTA (Central Computer and Telecommunications Agency) and was mainly used for Information System projects. However, after removing the IT-jargon, PRINCE2 made a relaunch as a comprehensive and complete project management framework that is adaptable to all kinds of projects across industries. Now the foundation of PRINCE2 lies in its flexibility as it is designed as a framework and not as a set of rules that must be followed rigidly. The project manager retains their freedom in tailoring the method to their specific project’s needs in order to ensure relevance and effectiveness.

Roles in PRINCE2

One of the main attributes that PRINCE2 has, is its clarity regarding its clear roles with the belonging responsibilities. These roles are:

The Project Manager: The person who is primarily responsible for the project and its management.

Team Manager: A team manager might exist in larger teams to assist the project manager with supervising the team and managing the workload.

Customer: The individual who will receive your project deliverable.

Team Members: The individuals who are responsible for creating the project deliverable. The members are assigned a role and specific responsibilities.

Project Board: These are individuals who are assigned as high-level decision-makers for the projects. The board usually consists of business executives and sometimes customers.

Key Aspects

In PRINCE2 projects there are 6 key project characteristics that a project manager can use to track their progress.

Costs: Calculate the project budget to prevent overspending.

Project Scope: Outline your project goals, deadlines, and deliverables clearly

Quality: Make a quality register that defines the production standards to make sure that the final deliverable meets the high standard requirements.

Risk: Manage risk processes to identify and mitigate potential risks that come with the project.

Timescales: Set a clear timeline to guide the completion of tasks.

Benefits: Add a clear justification for every project that is aligned with the project board’s expectations.

PRINCE2 Phases

The methodology is divided into seven phases that come with specific goals for each phase:

1. Start the project: Write a project plan that outlines the project’s general idea.

2. Directing: The project board reviews the project plan submitted by the project team and determines the necessary resources.

3. Initiating the project: The board selects a project manager who will create a detailed project plan with certain baselines for costs, quality, time, risk, and benefits.

4. Controlling: When the detailed project plan has been created, the project manager breaks down the plan into manageable tasks and monitors the progress.

5. Managing Product Delivery: The Project Manager makes sure that the progress is smooth and reviews the quality of the deliverables.

6. Managing Stage Boundaries: At each stage, the project board reviews whether the project is worth continuing.

7. Closing: When the project is finished, the project manager completes the final documentation and reporting.

PRINCE2 Certifications

To become proficient in the PRINCE2 methodology, there are four certification courses available for you to follow:

PRINCE2 Foundation: Teaches you the foundational skills that is necessary to act as a member of a PRINCE2 project management team.

PRINCE2 Practitioner: This course teaches you on how to apply the PRINCE2 principles in any project effectively.

With its flexibility, clear roles and responsibilities, key aspects, and structured phases it is a valuable framework for organizations that are seeking effective project management.
